All insurance policy maintenance may be performed from the Insurance Policies display screen. There are two modes or views available, one by insurance company and policy number, and the other by customer. The view by customer may be accessed from the menu, from the Work With Customer screen, or from within a pending contract. In the latter two cases, the view lists all policies for which the customer is included in the named insured of the policy.
If there is no insurance policy set up for a customer and the insurance option is taken on the Work With Customers screen, a screen will be presented allowing you to send a fax to an insurance broker requesting coverage for the customer.
Options provided at the insurance section level determine if a customer is allowed to rental a vehicle, whether or not a fax needs to be sent, and if a confirmation is required.
A customer''s insurance is checked based on the type of equipment being rented as well as the net book value of the equipment, and specific features (e.g. Boomerang), if set up. This validation is done at the time a reservation is created in Standby status, again when the reservation is set to Active, and a third time when the rental agreement is set to Active.
In some instances, the insurance brokers must be notified, via fax, that a customer is renting a particular vehicle. Some policies require notification for all rentals, while others require notification of substitute or replacement units. The option to fax can be turned off for specific instances.
Insurance validation can be overridden if a customer does not have adequate coverage. While the reservation is in Standby or Active status, you can bypass the warning; Enrich will keep a log entry identifying who bypassed the warning. When the rental agreement is being set to Active, a user ID and password (with a log file) will be required to override the warning.
Where a policy requires insurance confirmation from the broker, that requirement can be defined with the policy. The schedule of units has a field that can be filled in when confirmation is received.
Enrich can automatically fax insurance brokers when policies are about to expire.
Super equipment types can be used to define a default value for the net book value of the unit being reserved when the reservation does not specify a unit. This value will then be compared to the maximum net book value allowed for the policy.
The Max Values and Features insurance sections are used to identify maximum net book values for equipment types and required features respectively.
