P&L CPM line formats  

The P&L line definitions belong to a line format. This allows you to define different P&L reports formats if you have the situation where only certain portions of the P&L report are to be made available to some employees.

  1. At the EMMS main menu, select Administration | Reports | P&L CPM Reports | P&L Report Table Setup | Work With Line Formats.
    • The Work With P&L Line Formats screen appears.
  2. Click Add .
    • The Add P&L CPM Line Format screen appears.
  3. Fill in the fieldsfields as required.

    Line Format is a unique code identifying the specific line format.

    Description is a brief description of the line format.

  4. Click Enter .
    • The Edit P&L Line Definitions add screen appears.
  5. Fill in the fieldsfields as required.

    Line# is a sequential number identifying the order in which the line will appear on the report. Numbering lines in 10's (10, 20, 30, etc.) leaves you room to insert a new line later (e.g. # 15) without having to renumber all the lines.

    Line Text is the text that will appear in the left-most column of the report to identify the contents of the line. If text is to be indented,you must do it here when entering the line text value. The P&L report programs do not do any special indentations of different line types.

    Line Type identifies whether the line is a heading line (H), a detail line (D), a billed metrics line (B), or a total line (T). You can right-click in the field and select Prompt to select the line type from a list.

    Lin Cat identifies the category of the line. You can right-click in the field and select Prompt to select the category from a list. Valid values are:

    • E - expense
    • P - profit/loss
    • R - revenue

    CPM/% flags whether the line shows cost per metric (C) or percent (P). You can right-click in the field and select Prompt to select the flag from a list.

    Divisor Line (%) - if using a percent (%), the divisor line identifies the line number to be used in the percent calculation. You can right-click in the field and select Prompt to select the flag from a list.

    GL Account is a general ledger account number (with or without wild card) to be included in the line amount. You can right-click in the field and select Prompt to select the account from a list. Only one of GL Account or Acct List can be entered for a line.

    Acct List is a general ledger account list to be included in the line amount. You can right-click in the field and select Prompt to select the account list. Only one of GL Account or Acct List can be entered for a line.

    Line List is a total line list to be included in the line amount if this is a total line. You can right-click in the field and select Prompt to select the total line list.

    Unfav Rule identifies the unfavorable variance rule to be used for the line: actual is greater (1), actual is less (2), or blank. Individual lines can be flagged when an unfavorable variance condition exists. The unfavorable variance rule defines the relationship between the actual and the comparator amounts that is considered to be unfavorable; e.g. actual breakdown labor cost is greater than budget breakdown labor cost. It cannot be used on heading lines. If an unfavorable rule is defined, you must also enter the Variance Percent. You can right-click in the field and select Prompt to select the rule from a list.

    Varnce Percent controls when the report line is to be flagged if the Unfav Rule is non-blank; e.g. actual breakdown labor cost exceeds budgeted breakdown cost by 30% or more. When this condition exists, the % change will be flagged with a ?. It cannot be used on heading lines.

  6. Click Enter to save the line format.
  7. Click Exit to return to the Work With P&L Line Formats screen.
  8. If you are satisfied that all of the report lines have been defined for the format, you must run a process to build GL account number references for each report line:
    • Right-click on the line format and select Build GL Acct Refs.
      • A job is submitted to batch to create the reference file that has a list of full GL account numbers that match the wildcard definitions entered on the individual line definitions or in GL account lists.
      • When the job is complete, the GL Acct Refs column of the report format will be updated to "Refs Built".
      • Note that if the line definitions are changed in any way, the format GL Acct Refs column will be set back to "Not ready", and you will have to build the GL account references again.
