The national entity sets up tax codes for use in lease contracts in its database for all the tax codes defined in the affiliate's database. The tax cross-reference allows the centralized billing system to identify the affiliate's tax code on the national entity's system. Tax codes are usually standard; however, the affiliates have the option of changing the standard codes on their system and of adding new ones. The cross-reference serves to maintain only these exceptions.
Note: Because the tax cross-reference contains only the exceptions, it is possible for an affiliate tax code to be mapped to the wrong tax code on the national entity's system. For example, Affiliate 1 sets up a new tax code 999 and Affiliate 2 sets up a new tax code 999 whose definition is different from Affiliate 1's. The national entity sets up code 999 for the purpose of Affiliate 1. When a work orders is received for Affiliate 2 containing the code 999 and there is no cross-reference maintained for Affiliate 2 for this code, this work order will be accepted as valid, since code 999 has already been set up. But it would be mapped to the code 999 intended for Affiliate 1.
Affiliate Tax Code is the tax code as it is known in the affiliate's database.
