Customer internal descriptions  

This option allows you to work with internal descriptions for customers if the Screen Selector Search business parameter has been set to allow customer searches with or without suffixes. Note that manual charges, miscellaneous charges, and consolidated billing do not use this functionality.

  1. At the EMMS main menu, select Customer | Customers.
    • The Work With Customers display screen appears.
  2. Click View Internal Description.
    • The Customer Internal Description change screen appears, listing all customers with internal descriptions.
  3. Click Add .
    • The Customer Internal Description add screen appears.
  4. Fill in the fieldsfields as required.

    Company is the company the customer is associated with. You can right-click in the field and select Prompt to select the company from a list.

    Customer is the customer who will have the internal description. You can right-click in the field and select Prompt to select the customer from a list.

    Fuel Tax flags whether or not the customer can be picked for fuel tax processing on the Edit Trip change screen. You can right-click in the field and select Prompt to select the flag from a list.

    Fuel Ticket flags whether or not the customer can be picked for fuel tickets on the Edit Fuel Ticket change screen. You can right-click in the field and select Prompt to select the flag from a list.

    Internal Description is the name that will be used for the customer on the selected selection screens.

    • If the business parameter is set to S = Suffix, when searching for customers from the screens listed below, the Select Customer With Suffix screen appears, displaying the internal description rather than the customer name for those customers that have one. Customers without internal descriptions appear as before. If a customer with an internal description has the module set to No, that customer does not appear in the search list.
    • If the business parameter is set to N = No Suffix, when searching for customers from the screens listed below, the Customer Internal Description No Suffix select screen appears, displaying the internal description rather than the customer name for those that have one. Customers without internal descriptions appear as before. If a customer with an internal description has the module set to No, that customer does not appear in the search list. From the Customer Internal Description No Suffix select screen, you must drill down to the Select Customer Suffix screen (using option Suffix); any available suffixes for the customer will be listed. You can then select the customer from this screen and it will return the suffix that was selected.

    Lease Contract flags whether or not the customer can be picked for leases on the Add Contract Schedule A enter screen. You can right-click in the field and select Prompt to select the flag from a list.

    Rental Contract / Reservation flags whether or not the customer can be picked for rentals and reservations on the Edit Rental/Reservation change screen. You can right-click in the field and select Prompt to select the flag from a list.

    Suffix is the customer suffix that the internal description applies to. You can right-click in the field and select Prompt to select the suffix from a list.

    Work Order / WO Entry flags whether or not the customer can be picked for work orders on the Create Work Order enter screen, the Change Work Order Customer or Unit screen, the Create OTC Part Sale screen, the Assign Sublet Work Order screen, and the Customer Info For Multi Unit WO screen, and work estimates on the Create WO Estimate screen. You can right-click in the field and select Prompt to select the flag from a list.

  5. Click Enter to save the information.
