Create a memo work order

A memo work order can be created to record repair history without using actual labor hours or part issues from inventory. Instead, the costs may be directly entered onto the work order. The memo work order lines are included in the unit's repair history just the same as regular work orders. The memo work order has certain restrictions such as: it cannot be used to create a warranty claim, nor can it be used to create a customer invoice.

1. At the EMMS main menu, click the Work Orders button. The Work Order display screen appears.
2. Click Add . The Work Order Type to Create screen appears.
3. Click Regular WO's.
4. Click Enter . The Create Work Order enter screen appears.
5. Fill in the fields as required.

   Assigned Customeridentifies which customer the unit is assigned to. You can click on the Prompt button to select the customer from a list.
        You may receive a Credit Restrictions Warning screen. If so, you will need to obtain a supervisor's approval before you can continue.

   Cost Codeidentifies the rate that will be used to calculate labor costs for the work order. It defaults to Internal. You can click on the Prompt button to select the cost code from a list.

   Crew Numberis the number of the crew that will perform the work. It is optional, and may not appear on the screen.

   Customer Contactis the name of the person at the customer company to contact concerning this work order. It is optional.

   Customer POis the number imprinted on the customer's purchase order for the work. It may be optional.

   Employeeidentifies the employee responsible for the work order. This is optional. You can click on the Prompt button to select the employee from a list.

   Facilityis the facility where the work will be done. You can click on the Prompt button to select the facility from a list.

   Miscellaneousflags whether or not this is an unassigned, miscellaneous unit. Set this to No.

   Override Address #is the sequential number identifying an address for the customer to be billed at that is different from the standard. You can click on the Prompt button to select the address number from a list.

   Priorityidentifies the importance of the work. It can be left blank. You can click on the Prompt button to select the priority from a list.

   Reading(s)are the current meter readings on the unit, followed by the unit of measure for the reading. These will only appear if meters exist for the unit. If multiple meters exist, multiple reading and UOM fields will appear.

   Reasonidentifies why the work order is being created. It should be MW for a memo work order. You can click on the Prompt button to select the reason from a list.

   Roadside Serviceis the number of the roadside service unit being used for the work order. It is optional, and may not appear on the screen.

   Shopis the shop or department that will do the work. You can click on the Prompt button to select the shop from a list.

   Unitis the equipment unit the work order is for. You can click on the Prompt button to select the unit from a list.

6. Click Enter .
   • If user-defined fields exist, the Additional Information Entry screen appears. Type in the required information and click Enter to save it, then click Exit .
7. The Memo Work Order change screen appears.
8. Fill in the fields as required.

   Componentis the VMRS code identifying the component to be repaired. You can right-click in the field and select Prompt to select the component from a list.

   Taskis the VMRS code identifying the type of work that will be performed on the component. You can right-click in the field and select Prompt to select the task from a list.

9. If available, fill in the estimated hours, actual hours, labor cost, parts cost, other cost, labor tax, parts tax, and other task for each activity.
10. Click Enter to save the work order.
