Add a warranty claim for a work order

1. At the EMMS main menu, select Maintenance | Warranties | Warranty Claims. The Warranty Claims by Claim # screen appears.
2. Click Add Full . The Add a Claim screen appears.
3. Fill in the fields as required.

   Reference WO #is the work order for which the claim is being made. You can click on the Prompt button to select the work order from a list.

   Lineis the line on the work order for which the claim is being made. It is optional.

4. Click Enter . The Warranty Claim add screen appears.
5. Fill in the fields as required.

   Causeis an explanation of what cause the warranty work to be required. If Cause comments have been entered on the work order line, those comments will be copied here.

   Claim Dateis the date the claim was initiated. When creating a new claim it defaults to the current date, but can be changed.

   Claim Typeis the type of claim this is. You can click on the Prompt button to select the claim type from a list. It is possible to create a claim type that does not generate accounting. If a claim is created using a type like that, no accounting will be generated when the claim is posted. As well, the only option allowed for collections is Post Collection, No WO. When the collection is posted, there will be no accounting, but the collected amount will appear on the warranty recovery reports.

   Complaintis a short explanation of why the warranty claim is being made. If Complaint comments have been entered on the work order line, those comments will be copied here. Depending on how your system is set up, this might be required.

   Correctionis the action that was taken to remedy the complaint. If Correction comments have been entered on the work order line, those comments will be copied here.

   Cost Claimedis the amount of money being claimed under the warranty, to 2 decimal places. This can be any amount. Depending on the warranty being claimed against, it may include labor as well as parts. This is required for posting of the claim, but can be omitted until then.

   Date Sentis the date the claim was sent to the vendor.

   Descriptionis the description or name of the part causing failure. It is optional.

   Dispositionidentifies what will be done with the defective part after it is replaced with the warranty part. It is optional. You can click on the Prompt button to select the disposition from a list.

   Fail Dateis the date the item under warranty failed. When creating a new claim it defaults to the current date, but can be changed.

   Hoursis the number of hours that have been spent on the warranty work order labor, if available.

   Part Causing Failureis the part number of the defective item. It is optional. You can click on the Prompt button to select the part from a list.

   Vendoris the vendor to whom the claim is being made. This is required for posting of the claim, but can be omitted until then. You can click on the Prompt button to select the vendor from a list.

   Vendor Claim #is the number assigned by the vendor to identify this claim, if available.

   Warrantyis the specific warranty that the claim is being made against. This is required for posting of the claim, but can be omitted until then. You can click on the Prompt button to select the warranty from a list. On the selection screen, you can click All Warranties to select from all existing warranties rather than just those specific to the unit.

6. Click Enter to save the claim. You return to the previous screen where the warranty claim number will be displayed.
