Equipment fuel tickets

1. At the Asset Management main menu, select Equipment | Equipment. The Display Equipment screen appears.
2. Right-click on the unit and select Display. The Display Equipment screen appears.
3. Click Action List . The Asset Master action list screen appears.
4. Click Fuel Tickets. The Fuel Tickets by Unit display screen appears.
5. To add a fuel ticket:
   1. Click Add . The Edit Fuel Ticket change screen appears.
   2. Fill in the fields as required.

      Ticket Dateis the date the fuel ticket was created. Note that the date and time play a critical role in reconciling with tank readings; therefore, they need to be accurate. You can click on the calendar button to select the date.

      Timeis the time of day the fuel ticket was created. Note that the date and time play a critical role in reconciling with tank readings; therefore, they need to be accurate.

      Facilityis the location selling the product. You can click on the Prompt button to select the facility from a list.

      Departmentis the shop or department that created the fuel ticket. You can click on the Prompt button to select the shop from a list.

      Productis the fuel or other product that was sold on this fuel ticket. You can click on the Prompt button to select the product from a list.
           If the product field is left blank but the pump is entered, the product will be searched for. The pump is optional, but if the product code is entered and related to a tank, the pump number is required. If there is only one pump associated with the tank, it will be filled in automatically; otherwise, you will see a pump selection screen.
           If both the pump and item are filled in but the item is not related to a pump, the pump number will be zeroed out.
           Note that there is no checking to ensure that the item is not on a physical count or frozen.

      Pump #identifies the pump number that the fuel product came from. If the product field is left blank but the pump is entered, the product will be searched for. The pump is optional, but if the product code is entered and related to a tank, the pump number is required. If there is only one pump associated with the tank, it will be filled in automatically; otherwise, you will see a pump selection screen.
           If both the pump and item are filled in but the item is not related to a pump, the pump number will be zeroed out.

      Unitis the equipment unit that was fueled. You can click on the Prompt button to select the unit from a list.

      Customeris the customer that purchased the fuel. You can click on the Prompt button to select the customer from a list. If left blank, the system will attempt to look up the current customer based on the unit number and the ticket date entered.

      Reference #typically refers to a source document that the input is being keyed from. It is optional. If entered, it prints on the fuel ticket and the fuel invoice.

      Bill Typeidentifies whether the ticket is billable (billable, non-billable, or service land non-bill). Note that the billing type is not available unless the Fuel Billing module is installed. You can click on the Prompt button to select the bill type from a list.

      Quantityis the amount of fuel or other product that was purchased.

      UOMis the unit of measure that the purchase quantity is measured in, e.g. gallons, litres. You can click on the Prompt button to select the unit of measure from a list.

      Price Per Std UOMis the selling price of the fuel per unit, to 4 decimal places. This only applies if the Fuel Billing module is installed.

      PO #is the customer's purchase order number for the ticket, if available. It only applies if the Fuel Billing module is installed.

      Driver IDidentifies the driver submitting the ticket. It is optional.

      Card Numberis the number on the fuel card that was used to make the purchase. It is optional.

   3. Click Enter to save the ticket.
      • The price section is filled in by Enrich, identifying the price per unit of measure, the total gross price, the tax, and the ticket total. However, if the appropriate business parameter is set, you may be able to enter an override price here. Negative prices are allowed on fuel tickets.
6. To change a fuel ticket:
   1. Right-click on the fuel ticket and select Change. The Edit Fuel Ticket change screen appears.
   2. Make any changes required.
   3. Click Enter to save the changes.
7. To enter fuel ticket readings:
   1. Right-click on the fuel ticket and select Readings. The Readings for Fuel Ticket change screen appears.
   2. Fill in the fields as required.

      Readingis the actual meter reading at the time of fueling the equipment unit. If the reading entered is the same as the previous record found, a warning will be displayed. The warning can be overridden.

      UOMis the unit of measure used for the reading. You can right-click in the field and select Prompt to select the units of measure from a list.

      Meter Changeidentifies whether or not the meter was changed on this reading.

   3. Click Enter to save the readings.
8. To process a fuel ticket, right-click on the ticket and select Process.
   • The item inventory is decreased.
   • A ticket is printed to give to the customer.
   • GL entries are made to inventory and inventory clearing.
   • The ticket appears with a status of Pro.
   • The ticket will be available for billing if the Fuel Billing module is installed.
   • It will generate GL transactions to the system-generated adjustment account when necessary (i.e. for rounding).
   • If there is a quantity and the item is in stock, an inventory transaction record is created with a blank status. The fuel ticket date/time is used for the source document date/time.
   • The ticket cannot be altered unless it is unprocessed first.
9. To unprocess a fuel ticket, right-click on the ticket and select Unprocess. The status field will change to Ent and the ticket will be available for change.
