Manage unit assignments

Unit assignment records can have a status of History, Current, or Future. A Future assignment is one that is planned but hasn't actually happened yet. There can only be one future assignment for an asset. When the future assignment is to take effect, the user must activate the assignment.

  1. At the Asset Management main menu, select Assets / Asset Level Depreciation | Work With Assets. The Display Assets - All Assets screen appears.
  2. Right-click on the asset and select Manage Unit Assignments. The Unit Assignment History for Asset screen appears, listing all unit assignments for the asset.
  3. To delete a future assignment:
    1. Right-click on the assignment and select Delete Future Assignment. If the assignment has a status of F (future), a Confirm window will appear. (Otherwise you will receive an error message.)
    2. Click Confirm. The assignment will be deleted; the End Date and Time of the Current assignment record will be set back to zero.
  4. To view unit information about an asset, right-click on the asset and select Display Unit. The Display Equipment screen appears.
  5. To create a new assignment record:
    1. Click Change Unit Assignment change.jpg. If there is already a future assignment record, you will see the error message "Change Assigned Unit not allowed. Future Assignment exists.". Otherwise, the Change Asset's Unit Assignment enter screen appears.
    2. Select the new unit the asset will be assigned to (only owned units will appear on the selection screen).
    3. Enter the assignment date. If you enter a future assignment date, the Confirm Future Date Change screen will appear.
    4. Click Continue. You will return to the Change Asset's Unit Assignment enter screen.
    5. Click Change Unit Assignment change.jpg.
      • The program will create a new record in the Asset/Unit Assign file. If the new unit assignment has a future date, the new record will be given a status of Future (F), and the current assignment's status will be left at Current (C). If the new unit assignment is to be effective immediately, the new record will be given the status of Current, and the preceding assignment record will be set to History status.
      • The Assignment End Date and Time in the old record are updated to one minute less than the new assignment date/time.
      • The function will also update the depreciation schedule details for changes in pool, facility, and equipment type that come from the new unit.
  6. To activate an assignment:
    1. Right-click on the assignment and select Activate Assignment.
      • If the record has a status of Current or History, you will receive an error message.
      • If the assignment date is still in the future, you will receive the error message "The Unit Assignment Date is still in the future. You cannot activate yet."
      • Otherwise, the Confirm Activation Date/Time screen appears.
        1. If required, change the assignment date and time.
        2. Click Enter enter.jpg. The assignment will be activated. The status of this record will be changed to Current. The previous record that was the Current assignment will be changed to History status.
